The short answer
Connect an authorised enquiry source to n8n, find or create the CRM record, and check whether a follow-up call is appropriate. A voice agent can collect a bounded set of details. Validate its result, update the same record and assign the next action to a person.
The connected workflow
Reference design · Proposed steps to validate in a pilot, not a deployed customer case study.
- Enquiry received
Capture the source event ID, requested service and permission to use the contact channel.
- Existing record checked
Match cautiously, reuse the correct CRM record and assign a staff owner.
- Call eligibility checked
Stop if the person already replied, booked, opted out or has another active follow-up.
- Conversation completed
Ask the agreed questions and acknowledge only actions the connected tools successfully saved.
- CRM updated
Record a validated outcome and create the appropriate next task.
- Follow-up stopped or routed
Close the automation when resolved; send exceptions and requested callbacks to the owner.
What each tool does
- Enquiry source
- An existing inbound enquiry channel that records the request, source and contact preference. This is not a purchased cold-call list.
- HubSpot CRM
- An example system for the contact record and follow-up ownership. Confirm property, activity and task access for your account.
n8n / integration backend
- Apply duplicate and permission checks, coordinate the call and save validated results.
- Voice platform + phone provider
- Choose a suitable AI voice service for the call task, language, phone routes and budget. Run a short, disclosed conversation through its supported telephony integration.
Start with an inbound request
Use this design for people who requested contact through an existing channel. Store where the enquiry came from and the relevant contact preference. Establish calling hours, AI disclosure and opt-out handling for the destinations involved. Recheck these conditions immediately before dialling, because someone may have replied to a staff member while the job was waiting.
Keep one customer record
The HubSpot contact records API supports creating and updating contact records. For this design, preserve the CRM ID once a match is established. Do not merge people solely because they share a phone number; route ambiguous matches for review. Store the source event ID so a repeated webhook does not create another contact or another call job.
Ask useful questions
For a home-services enquiry, the agent might confirm the requested service, service area and preferred callback time. It should not invent a quote, promise a technician or mark a job booked without an authorised system response. Keep the conversation short and make a staff callback easy to request. Define which details are required and which can remain unknown.
Connect the tools
A n8n Webhook node can receive the source event, while the n8n HTTP Request node can communicate with an approved API. Treat CRM mapping, authentication and failure handling as implementation work. Use narrow server-side actions for live lookups. A workflow tool does not automatically know which record, owner or pipeline stage is correct for this business.
Write a bounded result
Define a result such as “callback requested”, “not interested”, “no answer” or “needs review”. Store the conversation reference, CRM record ID, requested callback time and timezone. Keep transport status separate from sales intent. Validate extracted values against the allowed options and record unknowns explicitly. A confident-sounding AI summary is not evidence that a customer agreed to buy.
Give the next action an owner
After validation, save the result and create the staff task through the supported CRM interface. If the task write fails, retain it in a retry queue and alert the owner. Stop automatic contact after a reply, booking or opt-out. For a callback request, use the customer’s chosen window instead of continuing a fixed sequence.
Test the uncomfortable cases
Try two submissions from the same person, a shared business number, an email reply arriving just before a call, and an API timeout after a task was created. Confirm that retries do not duplicate actions. Measure time to first useful response, tasks completed, failed writes and unwanted follow-ups. Conversion improvement needs real comparison data; it is not an assumed benefit.
Common questions
Does the voice agent replace the sales team?
In this design it handles a narrow initial response and routes work to staff. Pricing, negotiation, unusual requirements and important commitments remain with an authorised person.
Can we use another CRM?
Yes, if the selected CRM exposes the required supported actions. We check permissions, available fields, matching rules and task creation before recommending the connection.

Your next step
Share your enquiry channel, CRM and the questions staff currently ask. We can map the handoff, compare voice tools and define a pilot that your team can supervise.
