The short answer

WhatsApp can be the front door to selected portal actions: check a request, choose a service, upload an allowed document or ask for a change. Your application still controls identity, permissions and records. Sensitive or complex tasks can move to an authenticated web portal.

Choose the tasks that fit a conversation

A useful first portal might offer three actions: check a service request, provide missing information and contact the account team. Each should have a defined result and an owner. Long reports, bulk editing and detailed administration usually work better in a web interface. Keep those options available rather than compressing everything into a message.

Identity needs more than a chat history

A business account may have several authorised contacts, and staff may leave. Check the permissions in the account system before revealing a record or accepting a change. Use an appropriate verification step for the sensitivity of the action. The assistant should not infer authority from a persuasive message.

Example: a business service request

A customer checks the status of an installation. The portal reads the current job, reports the pending dependency and offers an action to provide the missing site detail. The backend validates the update and records who supplied it. An account manager receives an exception if the new information conflicts with the agreed scope.

Keep documents in the right place

Decide which files may be accepted, validate type and size, scan where appropriate and store them under the correct account permissions. Avoid exposing public links to private files. Some categories of information should be collected in a dedicated secure portal rather than chat; agree those boundaries during design.

A functional MVP can prove the idea

Build one account journey with real access control, persistent records and a staff view. Test a revoked contact, duplicate upload, expired session and failed backend write. Before adding more actions, confirm that staff can trace an update and customers understand whether an action is complete or awaiting review.
