The short answer
A WhatsApp order workflow verifies access, reads the store or fulfilment system and returns the relevant status. Change requests and returns follow explicit rules, with staff review where needed. The chat interface does not become the source of truth for inventory, refunds or payment.
Build a useful order lookup
Ask for the minimum information needed to locate a record, then verify that the customer may see it. A phone number alone may be shared or outdated. Return a short status with the last update and a tracking link when available. If two systems disagree, show that staff are checking instead of asking an AI model to guess.
Separate a request from a completed change
A customer can ask to change an address, cancel an item or start a return. The workflow checks dispatch status and the store’s policy before taking the next step. If the warehouse has already picked the order, route it to staff. An accepted request must not be described as a completed refund.
Example: a damaged delivery
The customer chooses the affected item, describes the issue and optionally shares a photo. The system opens one helpdesk ticket linked to the order, attaches approved evidence and provides a reference. An agent reviews replacement or refund options. Retrying the upload should update the same case, not create three tickets.
Keep checkout and money trustworthy
Use an appropriate payment provider for checkout and rely on authenticated payment events for the outcome. Never mark an order paid because a message or screenshot says it is. Where a secure hosted checkout is the better experience, link to it and return the confirmed status to the conversation.
Test the awkward orders
Include split shipments, missing carrier updates, a shared phone number, an old return, unavailable stock and a failed helpdesk connection. Measure how many requests reach a valid resolution, how often staff correct the answer and whether customers can reach a person. Start with read-only tracking before adding order mutations.
Common questions
Can it work with Shopify or another store?
Potentially. We check API access, store plan and the exact operations needed. A supported product name alone does not establish that a particular change or refund can be automated.
