The short answer
Connect selected guest conversations to the reservation or service system. Use current records for availability and booking status, approved information for common questions and explicit staff routing for requests. Begin with a single guest journey and keep sensitive or unusual decisions with the team.
Separate information from a reservation promise
Opening hours, directions and published amenities are suitable for an approved knowledge base. Room availability, rates and booking conditions need a current source. If there is no reliable reservation integration, collect an enquiry and explain that staff will confirm. A conversational answer must not silently create a reservation commitment.
Example: a late arrival
A verified guest tells the property they will arrive late. The workflow retrieves the reservation, captures the estimated time and creates the appropriate front-desk task. It returns approved arrival instructions. If the reservation cannot be found or the request changes the booking terms, the team handles it before a confirmation is sent.
Service requests need ownership
A request for an extra item or a maintenance visit should produce a task with a department, location and status. The guest gets a reference or simple acknowledgement. Completion follows the staff action in the task system; a successful message delivery is not evidence that a request has been fulfilled.
Language and hours shape the experience
Test the languages guests actually use, including names and local directions. Route uncertain translations to staff. Specify which team receives an overnight handoff and what the assistant can truthfully say about response times. A multilingual voice can help, but it needs the same operational context as a text conversation.
Pilot one property and one journey
Arrival support is a useful bounded starting point. Test changed dates, an unverified contact, a fully booked property, urgent maintenance and a booking platform outage. Track repeat explanations, unowned requests and incorrect promises. Only then add more properties, additional languages or transactional changes.
